One-line reminders for every PO Tracker task, the messages you will see, and the module's rules and glossary.

Open the module	PO Tracker in the left navigation
Find a PO	Search PO number..., or the partner, status and item filters; Clear All to reset
Change columns	Funnel icon, Column Display, Reset
Set sharing defaults	Gear icon at the top of the page (any tab), Organization Settings > Purchase Orders
Add one PO	Add POs, Single Purchase Orders (from Supplier POs or Customer POs)
Add many POs	Add POs, Bulk Upload, Excel Template
Edit a PO	Three dots, View Details, Save Changes
Share a Supplier PO	Three dots, Share PO, With Revision or Without Revision, Share
Delete a PO	Three dots, Delete PO, Delete
See linked shipments	Select the row
Link a shipment	Select Additional Shipments, tick, Include for PO
Remove a link	Three dots on the shipment, Unlink
Complete an automatic PO	Three dots, Add Details, Save Changes

Purchase order created successfully	After Add POs on the single form
Successfully uploaded file. Processing purchase orders...	After Upload on the bulk tab

No linked shipments yet.	A PO has no linked shipments
No Purchase Orders Found	The search and filters match nothing
Warning: PO missing details	Tooltip on an automatically created PO

Field and action reference

Rules and restrictions

Rule	Applies to	Behavior
Tab set by PoType	Bulk upload	PoType decides the tab, regardless of the open tab. Self is not an accepted value.
Identifier matching	Bulk upload	Trade Partner, Location and Trade Item are matched by identifier.
Unmatched identifier	Bulk upload	The PO is not created; no message is shown.
Unit values	Bulk upload, form	Use LBS, KGM, CASES or UNITS. A row with a different value is not created.
Dependent location fields	Form	Locations are disabled until the partner is chosen.
Private visibility	Supplier POs	Private means the PO is not shared with suppliers.
Visibility unavailable	Form	Visibility is unavailable on Customer POs and when the chosen trade partner is not connected on Wholechain.
Locked fields	Edit	PO Number and partners cannot be changed.
No restriction by partner	Linking	A shipment from any partner can be linked.
Display order	Line items	Lines are not always shown in LineItemNumber order.
Automatic linking	Events	Linked by matching PO number and trade partner.
Direct receives	Events	Can be linked; never make a PO Fulfilled.
Manual linking	Events	Linking a shipment to a PO does not change the shipment itself.
Deleting a PO	Linked events	Events are unaffected and can be linked to other POs.
Unlinking	Supplier POs	Removing the only linked shipment returns Status to Unfulfilled.

Warning: PO missing details	Tooltip on an auto-created PO (the PO came from a traceability event).
Excel format is required (.xlsx or .xls)	Bulk Upload tab, beside the drop area.

Glossary

Term	Definition
Auto-created PO	A PO created automatically from traceability activity, shown with a warning triangle.
Linked shipment	A shipment connected to a PO.
Store allocation	A Location and quantity assigned to part of a line item.
Self PO	A PO whose origin and destination both belong to your self Trade Partner.
Self Trade Partner	The Trade Partner that represents your own organization.
Trade Partner	A company you trade with.
