Table columns
| Column | Description | Sortable |
|---|---|---|
| PO Number | The PO's number. | Yes |
| Trade Partner | The Trade Partner on the PO. | Yes |
| Location | The Location on the PO. Shows Unknown Location when none was entered. On a Supplier PO, a qualifying ship event that makes the PO Fulfilled updates it to the shipment's actual origin. When shipments from separate Locations are linked, it shows Multiple Locations. | No |
| Source | The Trade Partner that issued the PO, usually your self Trade Partner. | No |
| Status | Unfulfilled, Fulfilled, Other or Cancelled (see Statuses). | Yes |
| Last Updated | Date of the last update. | Yes |
| Item Count | Number of items. Starts from the PO details. When a qualifying ship event makes the PO Fulfilled, it updates to the number of unique items across all linked ship events. | No |
| Shipments | Number of linked shipments. | No |
| Row menu (...) | Row actions (see Row actions). | No |
An auto-created PO shows a warning triangle beside its PO number (see Auto-created purchase orders).
Column Display
Select the funnel icon at the right of the table header to open Column Display. Each column has a checkbox, a drag handle and up/down arrows. Changes apply immediately, are kept after you reload, and apply to all three tabs. Column preferences are per user. Select Reset to restore all eight columns in the default order.
Search and filters
| Control | Behavior |
|---|---|
| Search box (Search PO number...) | Partial match on PO number. |
| Filter by Trade Partner(s) | Searchable list. Each option shows the Trade Partner name and identifier. |
| Filter by Status(es) | Options: Unfulfilled, Fulfilled, Other, Cancelled. |
| Filter by Item(s) | Searchable list. Each option shows the item name and identifier. |
Filters combine (a PO must match all of them). Clear All appears when any filter is active. The tab counts follow the filters. When nothing matches, the screen shows No Purchase Orders Found and "There are no purchase orders matching your current filters."
Row actions
| Action | Available on | What it does |
|---|---|---|
| Click the row | All POs | Opens the shipments drawer (see Shipments drawer). |
| View Details | Supplier, Customer and Self POs | Opens Edit Purchase Order. |
| Share PO | Supplier POs only | Opens Share PO (see Share PO). |
| Delete PO | Supplier and Customer POs | Opens the delete confirmation (see Delete PO). |
| Add Details | Auto-created POs | Opens Edit Purchase Order so the missing details can be added. Replaces View Details and Share PO; Delete PO stays. |
Settings
Select the gear icon at the top of the PO Tracker page (any tab) to open Organization Settings > Purchase Orders (sharing management). You can also open Settings with the gear icon at the bottom of the left-hand navigation bar, or with the Settings button on the Dashboard, then select the Purchase Orders tab under Organization Settings.
| Setting | Options | Default |
|---|---|---|
| Purchase Orders access | On / Off. The PO Tracker module is disabled until this is turned on, and only then appears in the left-hand navigation bar. | Off |
| Default Visibility for Sharing Supplier Purchase Orders | Private: the PO is not shared. Shared With Revision: shares the Supplier PO with a connected Wholechain Trade Partner and lets that partner propose changes, which the PO issuer accepts or denies. Shared Without Revision: shares the PO with the connected partner without letting them change it. | Private |
| Default Trade Items and Locations Sharing | None, Locations only, Trade Items only, Locations and Trade Items | None |
The visibility defaults apply to Supplier POs only, not to Customer POs or Self POs. Private means the PO is not shared with suppliers. A new Supplier PO inherits the default, and you can override the sharing choices on the PO with the Share Locations with Partner and Share Trade Items with Partner checkboxes.
Sharing Trade Items and Locations matters when you onboard suppliers: a supplier completing the ship event form needs access to your shared Trade Items and target Locations. Sharing supports supplier event submission and progress toward automated traceability collection. It does not by itself set up a complete automation workflow.
